This brief overview can give you an idea of what Versa Cloud ERP feels like. The menus available, and some things that you can do. By no means does this cover the whole program, but should give you a feel for what the program offers.
When you log in to the application, you will be presented with the dashboard. On the dashboard, there are different widgets of information, of different types.
Widgets can show your current outstanding AR, sales by product, there’s a pie chart showing the top 10 selling products in the system, all of which can be resized and moved around.
It can be personalized for each user. Each user, depending on their configuration in the system, will be able to see different widgets. For example, if you do not give user access to the general ledger area, then they will not be able to see the cash position widget.
The Versa Cloud ERP Modules
INVOICES
This is where you access your customer list. You can create invoices as well as record payments. You can also run aging reports.
BILLS
This is where you access your supplier lists. You can create suppliers, you can create bills, you can create payments against bills. We support batch processing of bills, and batch processing of bill payments. You can also run aging reports for accounts payable.
PRODUCT
This is where you set up your products. Products can be inventoried, or non-inventoried. Here you can also define services, for services that you sell to the customers. We also support concepts like a kit. The kit is a product that consists of multiple inventoried products. The kit itself is not inventoried. We inventory the individual kit components.
We also support bills of material (BOM). You can define finished products that need to be assembled from raw materials. You define that as a bill of material that you can go through the build process to assemble the finished product, from the raw material.
INVENTORY MANAGEMENT
You can adjust your inventory, and you can define sections within your warehouse, and where the inventory is in the warehouse. At that point, you can also set up sections like a rack. You can say part A is on rack A and product B, on Rack B
We support multiple units of measures. You can stock, sell, purchase, in any units you like. We also support multiple inventory locations. You can set up a facility for each inventory location and then you’d be able to track the inventory by locations.
When you sell and receive a new inventory, you’ll be able to specify which location the inventory is going into or which location the inventory is being sold from.
PROJECTS
For project costing, from a financial perspective, you can set up projects to have a budget, budgeted revenue or budgeted expenses. When you’re entering a transaction in the system, you can associate revenues against projects, or you can associate expenses against projects. Because we have a budget in the system, this will allow you to run a budget versus actual comparisons to see how the project is doing.
ORDERS MENU
This is where you can create transactions like sales quotes, sales orders, purchase orders, RMA orders for handling returns, and transfer orders for moving inventory from one location to another.
Sales quotes can be used where you need to send out quotes to customers. When the quote is accepted by the customer, it can be turned into a sales order. Then, you can ship against a sales order and from the shipment, you can create sales invoices.
If you don’t want to use a quote, you can use the sales order instead. You can also use invoices without orders or quotes. It depends on the process in your current business, and which transaction type you want to use.
LOGISTICS MENU
This is where you can do integrated shipping and receiving in Versa Cloud. You can ship against sales orders, and receive against purchase orders.
If you give your shipping person access to the system, then they will be able to do shipping in the system in real-time, and then as it happens, the system would be updated.
We also support multiple shipping workflows. For example, we support shipping based on picklist. You can just create a picklist and then the warehouse person will use the picklist to do their shipments.
We also support shipment against sales orders. You can ship directly against sales orders
REPORTS MENU
We have different types of reports. You can create financial reports and other types of reports. If the standard set of report is not enough, you can use the report builder to create your own report
CASE
This is part of the CRM module. You need to create a customer case. Once the case is created, you can attach notes, documents to each case, and then the case will be associated with the customers. You will then be able to track the interaction of the entire case for a particular customer. You get full visibility of all customer interactions in the system. When you set up a case, you’ll be able to configure and set up the application.
GENERAL LEDGER
This is where you can access the chart of accounts: post journal entries, account reconciliation, record miscellaneous payments, track your fixed assets, and set up your taxes.
TOOLS
This is where you get data in and out of the system. For most of the data types in the system, you can export them into a CSV. Then you can modify the CSV, and import the data back using a CSV
INTEGRATIONS
We have many different types of integrations. For example, integration with eCommerce systems like Magento or Shopify, you can access them here too.
